Data policy

As a member of Abingdon Eagles Basketball Club (AEBC) , we wanted to ensure you are aware of the information that we hold and the way it is used. You will be aware that the personal data laws have changed and this means, as a Club, we need to provide you with an opportunity to remove or update this information.

AEBC has a requirement to collect and maintain data for the purposes of insurance and to allow us to contact you and inform you of future events or changes that are related to AEBC and club activities. We do not use this data for other purposes, nor do we share or sell this data with other parties unless required to do so by law. The following outlines the data policy for the club, if you have any questions regarding your data, wish to view or change any details, then please let us know and we will respond as quickly as we can.

1. What information will we use?
As a member of AEBC (the club), we will collect and use information about you (parent or guardian) and the club member. This information includes your full name and address, email and telephone number. It also includes the name of each player, their DOB, sex and any additional information that we need to be aware of such as medical conditions or special needs.

2. How will your information be used?
The club will use this information to contact you regarding club activities events and updates. It also uses this information to register all members with Basketball England which provides insurance to cover club members.

3. When we can use your information
We collect and use your information in the following situations:
• On joining the club or when renewing membership.
• Whenever events or changes require the club to contact members
• To promote or advise of club opportunities
• To contact individuals for health and safety, security or personal reasons.
• Where we believe it is necessary to use your information to comply with a legal obligation to which we are subject

4. The period for which we will keep your information
Your information is necessary for us to operate the club and maintain contracts that we have with companies and associations. These contracts may extend to cover different periods from the membership period and as such we will keep your information for as long as is necessary for us to fulfil the club activities. We will also maintain a record for a period of time as some members do take breaks, however, we will not keep information longer than necessary and will remove all information after a period of 3 years of being an active member.

5. Your choices and rights
You have a number of rights in relation to your information and about how we collect and use it. However, some of the choices or changes you make may impact our ability to maintain your membership or provide you with information. In some cases this would result in ending your membership of the club. Please contact us if you wish to discuss any details regarding your information and how it is used by the club so that we can take necessary action and notify you if such action is necessary.
