These Terms & Conditions apply to all players, parents/guardians, and members registering with Abingdon Eagles Basketball Club (“the Club”). By registering a player and selecting a payment option, you agree to the following terms.

1. Annual Registration Fee

1.1 All players are required to pay the Club’s annual registration fee of £40 at the start of each season.

1.2 The registration fee contributes towards the ongoing running costs of the Club, including but not limited to:

Basketball equipment
*eam kit and training resources
Website hosting and administration
Club development and operational expenses

1.3 The annual registration fee is payable by every player, regardless of age group, squad, or payment method selected.

1.4 The registration fee is payable at the time of registration and must be paid before the player is able to participate fully in Club activities.

2. Training Membership Fees

2.1 Training membership fees are charged according to the number of weekly training sessions attended by the player.

2 Current standard annual training fees are:

£500 per season for all players in a team, which include two training sessions per week.

One Training Session Per Week:

If your coach has approved one session per week, you're eligible for the reduced seasonal fee of £300.

Email membership@abingdoneagles.co.uk with the player's full name, team, and reason for the request.

Once coach approval is confirmed, we'll send a discount code to reduce the fee from £500 to £300.

2.3 The Club reserves the right to amend membership fees at the start of a new season or where necessary to reflect operational costs. Any changes will be communicated in advance.

3. Payment Options

Players may pay their annual registration fee and membership fees using one of the following methods:

a) One-Off Payment

3.1 The full balance for the season may be paid in a single payment at the time of registration.

3.2 Players selecting this option must ensure payment is completed before participation begins.

b) Monthly Instalments

3.3 The Club offers a monthly instalment payment option through PlayHQ.

3.4 A 10% deposit of the total seasonal membership fee will be collected at the time of registration.

3.5 The remaining balance will then be divided into equal monthly instalments.

3.6 The first instalment payment will be collected on the 30th of the current month.

3.7 The final instalment payment will be collected on 30 June of the current season.

3.8 Instalment amounts will be calculated automatically by PlayHQ based on the remaining balance after the deposit has been taken.

4. PlayHQ Instalment Fee

4.1 Where the monthly instalment option is selected, PlayHQ will add an additional fee of £0.20 (20p) to each monthly instalment payment.

4.2 This fee is charged by PlayHQ for the use of the instalment payment facility and is not retained by Abingdon Eagles Basketball Club.

4.3 The additional 20p fee will be included automatically in each monthly payment.

5. Sibling Discount

5.1 The Club offers a 30% sibling discount for additional children registered from the same family after the first registered player.

5.2 The first registered player is charged at the standard applicable rate.

5.3 Each additional sibling registered for the same season will receive a 30% reduction on eligible membership/training fees.

5.4 The sibling discount is calculated automatically through the registration system where applicable.

5.5 The Club reserves the right to verify family registrations and amend discounts if applied incorrectly.

6. Payment Obligations

6.1 By selecting the monthly instalment option, the payer agrees to complete all scheduled payments for the full season.

6.2 Instalment payments are due automatically on the scheduled payment dates.

6.3 It is the responsibility of the payer to ensure that sufficient funds are available in the nominated payment account.

6.4 Failure to make payments may result in:

* Payment reminders being issued
* Additional administration charges where applicable
* Suspension from training sessions or matches
* Removal from Club activities until the account is brought up to date

6.5 Any outstanding balance remains payable even if a player stops attending during the season, unless otherwise agreed by the Club Committee in advance.

7. Withdrawals and Refunds

7.1 If a player wishes to withdraw from the Club, written notice must be provided to the Club as soon as possible.

7.2 The annual registration fee of £40 is non-refundable, except in exceptional circumstances at the discretion of the Club Committee.

7.3 Membership and training fees already paid are generally non-refundable once the season has commenced.

7.4 Where a refund is approved, the Club may deduct any costs already incurred on behalf of the player, including registration, affiliation, kit, equipment, administration, or facility hire costs.

7.5 If a player withdraws during the season while paying by instalments, any outstanding balance may still be payable unless otherwise agreed in writing by the Club Committee.

8. Exceptional Circumstances

8.1 The Club recognises that exceptional circumstances may arise, such as long-term injury, illness, or significant personal hardship.

8.2 Requests for payment arrangements, reductions, or refunds in exceptional circumstances must be submitted in writing to the Club Committee.

8.3 Any decision will be made at the discretion of the Club Committee and will be communicated in writing.

9. Changes to Fees and Terms

9.1 Abingdon Eagles Basketball Club reserves the right to amend these Terms & Conditions and/or membership fees where necessary.

9.2 Any significant changes will be communicated to members and parents/guardians in advance where reasonably possible.

10. Acceptance of Terms

By registering a player with Abingdon Eagles Basketball Club and selecting a payment option, the player, parent, or guardian confirms that they have read, understood, and agree to these Registration and Membership Fee Payment Terms & Conditions.
